01

Product basics

What hiddenhand is, who it is for, and how it fits into existing work.

What is hiddenhand?

hiddenhand is a document workflow platform for live events and creative delivery teams. It helps turn briefs, supplier quotes, design files, and exhibitor manuals into clearer working outputs that are faster to review and easier to act on.

Who is hiddenhand built for?

hiddenhand is built for teams handling document-heavy project work under deadline, including account teams, production teams, project managers, procurement leads, and operations teams in the live events and creative industries.

What problem does hiddenhand solve?

Much of event delivery depends on slow manual document work: reading dense briefs, comparing supplier quotes, checking dates, finding scope differences, and turning scattered information into usable notes or tables. hiddenhand helps reduce that manual admin and makes the important details easier to see.

Is hiddenhand a project management tool?

Not in the traditional sense. hiddenhand is focused on the document-heavy work that often sits around project management: extracting information, comparing details, checking risks, preparing summaries, and creating clearer material for the team to use.

Does hiddenhand replace our existing workflow?

No. hiddenhand is designed to support the way delivery teams already work. It helps produce clearer outputs from the documents you already receive, so your team can review, decide, and move forward faster.

02

Workflows

The practical document workflows hiddenhand supports or is being built toward.

What workflows does hiddenhand support?

hiddenhand is being built around four practical workflows: brief analysis, quote comparison, design verification, and exhibitor manual management. Each workflow is aimed at making dense project information easier to review and use.

What does the brief analysis workflow do?

Brief analysis helps turn client briefs into structured notes, key details, timelines, and next steps. The goal is to make the first pass through a brief faster while preserving the detail teams need for delivery.

What does the quote comparison workflow do?

Quote comparison helps teams review supplier quotes side by side. It extracts structured pricing and scope information, compares totals, highlights useful differences, and supports faster commercial review.

What does the design verification workflow do?

Design verification is intended to help pull quantities, specifications, and cost-relevant details from design materials before they become delivery issues. This workflow is planned as part of the broader hiddenhand product direction.

What does exhibitor manual management do?

Exhibitor manual management is intended to help extract requirements, timelines, contacts, cost lists, and compliance points from dense manuals. This workflow is planned for teams that need to turn long manuals into usable delivery material.

Can hiddenhand export data?

Yes. Where supported, hiddenhand can export structured outputs such as extracted tables, totals, metadata, and comparison data. The aim is to make the useful parts of a document easier to move into spreadsheets, notes, or internal review workflows.

03

AI and data use

How AI supports the workflow and how production data is handled.

Does hiddenhand use AI?

Yes. hiddenhand uses AI to help read, structure, compare, and summarize complex documents. The AI is used to support document workflows, not to replace human review or decision-making.

Do our documents train AI models?

No. hiddenhand is designed to use paid API-based AI services for production document analysis, and customer documents, prompts, uploaded files, extracted data, and responses are not used to train foundation models through that production workflow.

What data is sent to AI services?

hiddenhand sends the context needed to complete the requested task, such as relevant quote text, extracted tables, document snippets, brief content, or conversation context. Provider credentials stay server-side, and project data is accessed through authenticated backend workflows.

Can we use hiddenhand without sending documents to AI services?

Some parts of hiddenhand depend on AI document analysis. If your organization has specific data handling requirements, we can discuss which workflows are suitable and what deployment or processing constraints apply.

Does hiddenhand make final decisions for us?

No. hiddenhand provides structured outputs, comparisons, summaries, and review support. Final commercial, operational, and delivery decisions should always stay with your team.

How should teams treat AI-generated outputs?

AI-generated outputs should be reviewed like a fast first pass from a careful assistant. hiddenhand is designed to reduce manual effort and surface useful details, but teams should still check important costs, dates, assumptions, and contractual information before relying on them.

04

Security and privacy

How access, storage, credentials, and document safety are handled.

How does hiddenhand protect project data?

hiddenhand protects project data through authenticated access, project membership checks, and role-based permissions. Files, extracted results, analyses, and conversations are accessed through backend workflows that verify the user and the project before returning sensitive data.

Can another customer access our uploaded files or analysis results?

No. Project data is scoped to the workspace and checked against the signed-in user's access before it is returned. The app is designed so users can only access projects they own or have been invited to.

Are uploaded files publicly accessible?

No. Uploaded files are stored privately and accessed through backend services after authorization checks. They are not exposed as public storage links.

Are API keys or provider credentials exposed to users?

No. API keys and provider credentials are kept server-side. The browser only receives public configuration needed for normal app operation.

How does hiddenhand handle prompt injection?

hiddenhand treats uploaded files, quote text, extracted tables, and conversation history as untrusted content. The system is designed so instructions embedded inside supplier documents cannot override security rules, reveal secrets, change access controls, or alter backend behavior.

Can a supplier document tell the AI to ignore hiddenhand's rules?

Supplier documents may contain any text, including malicious or misleading instructions. hiddenhand is designed to treat that text as document content, not as instructions for the system to follow.

Who can access a workspace?

Workspace access is based on project membership and role. Users must be signed in, and sensitive actions such as processing, editing, deleting, or saving analysis require the right level of access.

05

Files and documents

What can be uploaded, processed, exported, and reviewed.

What file types can hiddenhand process?

Supported file types depend on the workflow. Quote comparison currently focuses on common quote document formats such as PDFs and structured spreadsheet or CSV files. Additional workflows may support other document types as they are developed.

Does hiddenhand validate uploads?

Yes. hiddenhand checks supported formats, file size limits, filenames, and basic file signatures to reduce the risk of malformed or disguised uploads.

Can hiddenhand process scanned documents?

Support depends on the quality and format of the scan. Clear, machine-readable documents generally produce better results than low-resolution scans, image-only PDFs, or documents with unusual layouts.

What happens to extracted tables?

Extracted tables are structured so they can be reviewed in the app and, where supported, exported for further analysis. The goal is to make quote details, totals, and metadata easier to inspect without copying rows by hand.

Can we download our data?

Where supported, hiddenhand allows teams to download structured outputs such as selected CSV tables or grouped exports. Export behavior may vary by workflow.

Can we delete uploaded files?

Authorized users can delete documents through backend-controlled workflows. Deletion behavior may vary by workspace configuration and retention requirements.

06

Future supplier workflow

Planned supplier discovery and supplier-side additions.

Is hiddenhand planning supplier recommendations?

Yes. Over time, hiddenhand is expected to explore supplier recommendations that use project context such as scope, budgets, timelines, document patterns, and the kind of support a team is looking for.

Will suppliers have their own side of the platform?

That is part of the longer-term direction. A supplier-side experience could help suppliers present capabilities, availability, categories, and relevant project fit in a way that is easier for event teams to review.

How will supplier recommendations be funded?

The model is not finalized. It may include supplier participation fees, referral revenue, or another structure tied to the business hiddenhand helps create. If commercial relationships influence recommendations in the future, the aim is to make that clear.

07

Accuracy and review

How to use hiddenhand outputs responsibly during delivery work.

How accurate is hiddenhand?

Accuracy depends on the quality, structure, and consistency of the source documents. hiddenhand is designed to make document review faster and clearer, but important figures, dates, assumptions, and obligations should still be checked by your team.

Can hiddenhand make mistakes?

Yes. AI-assisted document processing can misread, omit, or misinterpret information, especially when documents are messy, inconsistent, scanned, or ambiguous. hiddenhand is built to support review, not remove the need for it.

How does hiddenhand help with review?

hiddenhand organizes extracted information into more readable outputs, such as summaries, comparison tables, totals, notes, and action lists. This helps teams focus their review on the details that matter.

What should we double-check before acting on an output?

Teams should check final prices, exclusions, assumptions, dates, legal terms, tax treatment, delivery responsibilities, and any item that affects budget, scope, risk, or client communication.

Can hiddenhand identify savings?

hiddenhand can help compare supplier pricing and surface potential savings or cost differences. Those findings should be reviewed in context, since the cheapest option may not always match the required scope, quality, timing, or risk profile.

08

Team workflow

How teams collaborate around the same documents and outputs.

How does hiddenhand support teams?

hiddenhand gives teams clearer shared material to review: structured summaries, extracted tables, comparisons, and notes. This can reduce the time spent chasing basic information and make handoffs easier.

Can multiple people work in the same project?

Yes. Projects are designed around workspace membership so teams can collaborate around the same documents and outputs.

Can we control who can edit or delete data?

Yes. Sensitive actions can be limited by role, so teams can distinguish between users who need to view project material and users who need to process, edit, or delete it.

Does hiddenhand keep conversation context?

Where chat or analysis conversations are used, hiddenhand can preserve relevant context so follow-up questions are more useful. Conversation access follows project permissions.

Can hiddenhand help with internal handoffs?

Yes. By turning documents into clearer summaries, tables, dates, and action points, hiddenhand can make handoffs between account, production, procurement, and project delivery teams easier.

09

Access and setup

How teams get started and what onboarding usually looks like.

How do we get access to hiddenhand?

hiddenhand is currently best approached through early access or direct conversation with the team. If it sounds relevant to your workflow, contact us and we can talk through your document types and use cases.

How long does setup take?

Setup depends on your team, document types, and workflow needs. For early access, the most useful first step is usually a short conversation about where document admin slows your team down today.

Do we need technical support to use hiddenhand?

The product is designed for operational teams, not technical users. Some setup or onboarding may be useful depending on the complexity of your documents and internal workflow.

Can hiddenhand fit into our existing tools?

hiddenhand is designed to produce clearer working outputs that can be reviewed, exported, and used alongside existing tools. Deeper integrations can be discussed based on team needs.

Is hiddenhand available outside live events?

hiddenhand is focused on live events and creative delivery workflows. Some document-heavy teams outside that space may still find it useful, but the product direction is shaped around the needs of events teams.

10

Pricing and pilots

Commercial questions for teams considering early access.

How is hiddenhand priced?

Pricing depends on the stage of access, team size, usage needs, and workflow scope. Contact the hiddenhand team to discuss what makes sense for your organization.

Is there a free trial?

Early access and trial options may vary. The best next step is to get in touch with a short description of your team, the documents you handle, and where the slow work currently sits.

Can hiddenhand support a pilot?

Yes. A focused pilot can be a good way to test hiddenhand against real documents and real workflow pressure before a broader rollout.

What makes a good pilot use case?

A good pilot usually has a repeatable document workflow, a clear pain point, and outputs that can be reviewed by the team. Quote comparison, brief review, and dense manual extraction are strong examples.

11

Support

Where to go with product, workflow, and security questions.

How do we report an issue?

Contact the hiddenhand team with the project context, what you expected to happen, and what happened instead. Avoid sending sensitive documents through email unless that has been agreed as part of your support process.

How do we ask a security question?

Send the hiddenhand team your question and any relevant procurement or security requirements. We can walk through the controls that apply to your workspace and identify anything that needs a deeper review.

Can hiddenhand help us understand whether our documents are a good fit?

Yes. A short conversation about your document types, workflows, and review process is often the easiest way to understand whether hiddenhand can help.

What should we include when requesting access?

Include your team type, the kinds of documents you handle, how often you process them, and where manual review currently slows things down. A few examples of desired outputs are helpful too.

Still deciding?

Talk through your document workflow with us.

A short note about your team, your documents, and where review work slows down is usually enough to start a useful conversation.
